When your buyer accepts, convert the quote. The order takes over the buyer, lines, prices, Incoterm, payment terms and currency, so nothing is keyed twice, and the order keeps a link back to the quote.
Approving the order
Approval is the point where you commit stock, documents and requirements to the order. Before approval Expodite checks that:
- every line has an HS code;
- the buyer's commitment is recorded: an advance payment, a letter of credit, a signed purchase order, the quote acceptance or another agreed form;
- the commitment's reference is entered, such as the LC number, payment reference or PO number.
Once approved, an order cannot be moved back before approval. If the deal changes, raise a change order or cancel the order.
